Job Summary :

Performs a variety of administrative and secretarial duties in support of the Regional Vice President. Prepares confidential and general correspondence, reports, transcripts, presentations, etc.

Determines proper format, edits, produces and distributes. Reviews and prioritizes incoming mail; answers phone and directs inquiries.

  • Maintains an efficient filing system; coordinates all travel arrangements; prepares expense statements and processes petty cash vouchers;
  • coordinates purchase of office supplies. Selects the most efficient methods to complete assigned duties. Actively participates on and contributes to the Operational Management Team processes, i.

    e. business plans, budgets, etc. Supports and assists the Regional Vice President in carrying out their duties on the Operational Management Team.

    Initiates and prepares agenda and minutes for the Team meetings; creates and maintains records of meeting schedules and attendance.

    Makes hotel reservations for internal and external visitors, arrange lunches and dinner reservations, etc. Ensures all preparations for Team Meetings are completed in a timely manner, meeting all relevant deadlines.

    Prepares annual reports and covering letters for distribution to various levels. Effectively and efficiently processes the high volume of work associated with this position.

    Performs tasks in support of the Operational Management Team including the preparation of agendas and the processing of Decision Statements.

    Works on special projects and tasks for the Regional Vice Presidents, as assigned. Performs other special duties, maintaining confidentiality and professionalism.

    For the time of the start up phase of the Regional Headquarter, may assists in all activities to install the processes, offices, equipment etc.

  • Executive Secretary Diploma or 5-7 years related experience Proven quality check experience Knowledge of office equipment Strong administrative skills Fluent English (written and verbal) High level of confidentiality and diplomacy Ability to plan, organize and schedule work;
  • able to judge multiple tasks with competing deadlines Uses creativity and initiative in designing new work methods Strong communication skills (written and verbal);
  • ability to interact with all level of internal and external contacts Computer proficiency (word processing, spreadsheets, graphics software);
  • keyboarding skills Proven ability to work without supervision Sound decision making, time management and prioritizing experience
