  • Manage General Manager’s calendars, proactively resolving conflicts
  • Schedule online and in-person meetings, capture, track, transcribe and distribute meeting minutes and / or action items
  • Coordinate independently complex onsite / offsite meetings (i.e. contract negotiation, budget control, agenda preparation, onsite contract, draft minutes, logistics), leading administrative projects, providing management with status / activity reports, and selecting appropriate format for presentations
  • Initiate purchase orders, code invoices
  • Solve administrative challenges to enable organizational effectiveness.
  • Maintain distribution lists, contact lists etc.
  • Arrange domestic / international travel and process expense reports
  • Coordinate GM’s mailings and courier / deliveries
  • Organize and manage departmental documents
  • Administratively support department project team meetings
  • Update and maintain dues, memberships, subscriptions
  • Collect and organize information for monthly reports
  • Assist in the coordination of management issues (i.e., focal reviews, goals and department / staff goals and objectives)
  • Take, transcribe, and distribute meeting minutes, project tracking (i.e. budget, database, timelines)
  • Basic Qualifications

  • Associate’s degree or above with 8 years of Administrative experience
  • Fluent communication skills in both English and Mandarin Chinese
  • Preferred Qualifications

  • 5+ years administrative support experience supporting senior executives
  • Advanced level experience with MS Office Suite (Word, Excel, Powerpoint, One Note, Outlook)
  • Strong analytical skills with strong problem solving capabilities
  • Ability to interact effectively with various levels of management and with external vendors while using discretion in dealing with proprietary information
  • Ability to manage multiple people and calendars at once in a fast-paced, deadline-driven environment across multiple time zones
  • Excellent travel and meeting planning skills
  • Excellent Time and Project Management skills
  • Excellent written, verbal, and presentation skills in communicating key business information
  • Ability to work in tight collaboration with other Administrative Assistants supporting the area
